Celia Hammond Animal Trust - PRIVACY NOTICE FOR JOB APPLICANTS
As part of any recruitment process, we collect and process personal data relating to job applicants. We are committed to being transparent about how we collect and use that data and to meeting our data protection obligations. We have implemented this privacy notice to inform you, as prospective employees of our Charity, of the types of data that we may process about you. We also include the reasons for that processing, the lawful basis that permits us to do it, how long we keep the data for and your rights regarding your data.
We may keep a range of information about you. This may include:
· your name, address and contact details, including email address and telephone number
· details of your qualifications, skills, experience and employment history
· whether or not you have a disability for which the organisation needs to make reasonable adjustments during the recruitment process
· information about your criminal record if you have any unspent convictions
· information about your entitlement to work in the UK.
We collect this information in a variety of ways – from your CV or application form, cover letters or emails, from your passport or other identification documents, at interview, assessment days or similar, or during trial periods and, for relevant roles, information from criminal records checks. In some cases we may collect date from third parties such as employment agencies or from former employers when we are gathering references. We will only seek information from third parties once a job offer has been made to you.
If you are successful in your application we will collect further information such as next of kin and bank details before your employment start date.
WHY DOES THE CHARITY PROCESS PERSONAL DATA?
The Celia Hammond Animal Trust needs to process personal data to assess candidates’ suitability for a role and to decide who to offer a job to, to make decisions about salary and any other benefits to offer and in assessing job training needs. We may also need to process data from job applicants to respond to, and defend, any legal actions. These are all legitimate interests. In addition we have a legal obligation to carry out checks in relation to your right to work in the UK and to consider any reasonable adjustments we might need to make to accommodate a disability.
For some roles, we may be obliged to seek information about criminal convictions and offences. Where we seek this information, we do so because it is necessary for us to carry out our obligations and to exercise specific rights in relation to employment.
If your application is unsuccessful, we will keep your personal data on file for six months after the end of the relevant recruitment process. We may contact you during this time if there are future employment opportunities in the same, or a similar, role for which you may be suited. We will ask for your consent before we keep your data to use for this purpose and you are free to withdraw your consent at any time.
If you do not provide data we may not be able to consider you for employment.
WHO WILL WE SHARE YOUR DATA WITH?
Employees in the Charity who have any responsibility for any stage of recruitment will have access to your data where it is relevant to their role. We will not share your data with third parties unless your application for employment is successful when we will then share your data with former employers (or other named referees) to obtain references for you. For relevant roles, we may also share your data with the Disclosure and Barring Service to obtain necessary criminal record checks. We will not transfer your data outside the European Economic Area.
HOW DOES THE CELIA HAMMOND ANIMAL TRUST PROTECT DATA?
We take the security of your data seriously. We are aware of the requirement to ensure your data is protected against accidental loss or disclosure, destruction and abuse. We have implemented policies to guard against this.
HOW LONG DO WE KEEP YOUR DATA FOR?
If your application for employment is unsuccessful, we will hold your data on file for six months after the end of the relevant recruitment process. At the end of that period, your data is deleted or destroyed.
If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your employee file and retained during your employment and for a period afterwards. We have a separate Privacy Notice for employees which will be provided to you.
WHAT RIGHTS DO YOU HAVE?
You have the right:
- to be informed about the data we hold on you and what we do with it
- to obtain access to that data
- for any inaccuracies to be corrected
- to have data deleted in certain circumstances
- to restrict the processing of the data
- to object to the inclusion of any information.
